FuturTech Completes System Requirements Document for Division of Corporations,
Department of State
On January 6, 2006, FuturTech Consulting completed a System Requirements
Document (SRD) for a new Integrated Corporations Information System (ICIS) for
Division of Corporations, Department of State. The purpose of the SRD was to
identify the system requirements and establish a requirements definition to
upgrade the existing systems to newer technology.
The goal of the SRD was to identify the problems, needs and system
requirements. This was successfully accomplished as a result of a collaborative
effort between the Division of Corporations and FuturTech. The SRD consists of
a detailed list of the requirements, features, functions and a description of
the new Integrated Corporations Information System. Additionally, the SRD also
includes a review of the various database, application and imaging alternatives
that best meets the requirements of the new system. These findings were
transformed into an architecture that outlines the functionality, components,
hardware and software of the proposed system, and how they interact with the
system. The architecture not only satisfied one of the objectives of the SRD
which is to delineate in clear and concise terms the functions and features of
the proposed system, it provides a detailed overview including the hardware and
software required.
Overall, the existing technology is viewed as favorable. The respondents rated
the overall technology and current applications as above average to average. In
fact, eighty-four percent (84%) of the respondents rated DCIS as excellent,
very good or average. In addition, seventy-two percent (72%) of the respondents
indicated that the technology/information systems provide a productive
environment for performing their job functions. However, the questionnaire
respondents also indicated that some of the technology could be enhanced.
In addition, users indicated the need for:
-
Windows and Web Based System
-
More User Friendly and Intuitive System that reduces training time
-
Enhanced Reporting
-
Enhanced Search Capabilities
-
Improved System Integration
-
Better Document Management
-
Improved Workflow Management
-
Enhanced Imaging System
-
Easier connectivity for registered agents and more data communication choices
such as DSL, Cable Modem, etc.
-
Less reliance on programming staff and outside contractors for system
maintenance and reporting
-
A long term, state of the art hardware, software, and networking architectural
solution
The Division of Corporations requires a new custom built integrated system that
uses the latest technology, databases, and application tools. An important
requirement is that the corporate database and imaging/workflow systems that
are currently in three separate screen forms be integrated into one easy to
navigate screen. The new system must be fully integrated providing a single
point of data entry that also provides a presentation environment that displays
data, images and workflow processes in one screen form.
Overall, the users preferred a user friendly, windows based integrated solution
to the existing mainframe applications. The users expressed a need to have a
web and modular based application that offers increased flexibility for rapid
development modifications. The most noted functional requirements were enhanced
query and search features, automatic calculation of fees and taxes, online
help, and improved reporting capabilities including ad hoc, custom and canned
reporting with charts, graphs and elapsed time calculation. Other requirements
include error checking, data validation, and longer field lengths.
The SRD was used by the Division of Corporations to establish a request for
proposal for ICIS.
